Bromsgrove Unionist Club Privacy Policy

The Bromsgrove Unionist Club (BUC) is affiliated to The Association of Conservative Clubs Ltd. This privacy policy will explain how our organisation and specifically the BUC uses the personal data we collect from the members.

The UK Data Protection Act 2018 enshrined in law the following two principals:

  • Consent of the individual
  • Protection of personal data in a fair and transparent way

A copy of the Data Protection Policy is available on request from the Secretary.

What data do we collect?

We ask prospective members to provide the following personal data: Name, DoB, Address, email, mobile OR landline telephone number and car registration.

How do we collect your data?

Personal data is collected via the application form when consent is sought for the BUC to retain and hold members’ personal details.

How will we use your data?

Initially personal information is used as part of the application/interview process. The names of prospective candidates will be posted in the club for a period of 2 weeks for members to raise an objection as, and if, appropriate, according to club rule no. 13. After this period a personal interview will be arranged with the membership secretary.

During membership, the BUC will use your personal information to inform/notify you of events, activities and meetings. This is for internal use only.

How long do we hold your personal data for?

12 months. At the start of each calendar year, we will ask you to confirm your consent to hold your personal information. This is part of the renewal process.

Who has access to personal data?

The Data Protection Officer, Secretary and Membership Secretary.

How do we store your data?

Personal data is stored on a computer requiring password access and is held in a folder also requiring password access. It is backed up to a fingerprint accessed USB memory stick that is kept in the secure office safe. The office door is kept always closed when not in use and entry is by keypad.

How do we dispose of your data?

Upon termination of membership, by request or non-renewal, we will delete your personal data in all formats. Any paper copy will be shredded, and personal data will be deleted from the database held electronically.

Marketing

Personal data is not used in any way for marketing purposes, other than internal use. and your personal data is not shared with any third party. You have the right to contact the Secretary at any time, in writing, to stop receiving information.

What are your data protection rights?

The BUC would like to make you fully aware of all your data protection rights. Requests should be in writing to the Secretary. Every member is entitled to the following:

  • The right of access – You have the right to ask the BUC for copies of your personal data.
  • The right to rectification – You have the right to request that the BUC correct any information you believe is inaccurate. You also have the right to request the BUC to complete information that you believe is incomplete.
  • The right to erasure – You have the right to request that the BUC erase your personal data, under certain conditions.
  • The right to restrict processing – You have the right to request that the BUC restrict the processing of your personal data under certain conditions.
  • The right to object to Processing – You have the right to object to the BUC’s processing of your personal data, under certain conditions.
  • The right to data portability – You have the right to request that the BUC transfer the data we have collected to another organisation, or directly to you, under certain
    conditions.

If you make a request in writing to the Secretary, by email the request form, we have two weeks to respond.

What are cookies?

Cookies are text files placed on your computer to gather standard internet information and visitor behaviour information. Neither the BUC nor our website design company use cookies to harvest additional information.

Changes to the privacy policy

The BUC keeps its privacy policy under review and will place any updates on the website together with the new privacy policy. Annual review is prior to membership renewal each year.
